Job purpose

The position is responsible for the accounts payable function in the Finance department.

Basic Responsibilities

Ensures accurate coding and posting of invoices in the accounting system.
Ensures that relevant and accurate documents such as Purchase Requisition/Purchase Requisition, Expense Authority, Ceremony Order and Contracts are attached to invoices.
Ensures proper approval by concerned department/section heads on invoices without relevant supporting documents.
Ensures that all payment requests are approved by the relevant authority i.e. Head of concerned departments, Director of Finance and Business Support and/or General Manager.
Ensures that all laser/manual examinations are deployed in the system.
Ensure that electronic payments are made in accordance with approved policies and procedures.
Ensures correctness of overlapping journal entries from Cost Control / Receiving Office.
Ensures that all expenses for the month are posted and necessary dues are made.
– Ensures accounts payable aging accounts with the general ledger on a monthly basis.
– Update creditors settlement to ensure our records conform to the creditor statement.
Ensures adherence to all hotel regulations and internal controls related to the accounts payable department.
Monitors expectations versus actual to ensure departments deliver invoices and receivables if services are provided.
– Senior Account Assistant work reviews (Accounts Payable) to ensure accuracy.
Ensures that operating procedures comply with PCI-DSS compliance.

Attends colleagues inquiries promptly.
Consistently provide professional, friendly and engaging service.
Coordinates with various departments to ensure the submission of appropriate documents.

The ability to justify any difference between the actual expenses incurred versus the accrual.

Knowledge and experience

– Diploma or equivalent holder in hospitality or a related field.
– Work experience of not less than two years in the same capacity.
Strong working knowledge of Microsoft Outlook and Microsoft Office.
Experience with accounting systems (eg SUN system).
