Role:

– Advance. Administrative support to Senior Sales Manager, Sales Executive and Marketing Executive
Executes a special project assigned by Senior Director of Sales, Executive Sales and Executive Director of Marketing.
– Periodically updates the postal address of existing company accounts and other database.
Monitors attendance system, annual leave, public holidays and sales calls.

Main Achievements and Responsibilities:

Planning and Organizing:

Maintains a high level of hotel exposure in key market areas through direct sales solicitation, telephone, fax and written communication.
Ensures adequate stock of office supplies and initiates requests for approval.
Ensures a smooth communication channel between departments to clearly obtain and receive or disseminate messages/information
Attends daily lineups and reports daily challenges with the rest of the team.
Prepares materialization/cancellation report for the group on monthly basis.

Operations:

Ensures that all telephone calls within the department are attended and positively engaging customer requirements.
– Maintains a pleasant attitude throughout customer contact
Works alongside sales, marketing, reservations, revenue and the front office to make sure reservations and group orders are met.
Assist in the preparation of corporate agreements and group contracts.
Assist in updating and uploading production and contracts in ASA.
Ensures that the sales and marketing department is updated with customer inquiries and requests.

Administration:

Maintains clear and easy-to-find reference/save systems.
Ensure that all correspondence is uniform and of high quality.
Takes full responsibility for updates of Sales Managers company details as stipulated.
Provides weekly, monthly and annual reports if required.
Handles confidential documents, including the status of accurate personnel files of department employees, with utmost confidentiality.
Assists with travel preparations and scheduling for the sales and marketing department.
– Maintains department bulletin board.

General aspects of hygiene/personal safety/environment/confidentiality:

Ensure proper care of all equipment and furniture assigned to the cardiologist to be used.
Good familiarity with hotel policies and procedures, good knowledge of the physical layout of the hotel and its premises and knowledge of hotel emergency procedures in relation to fire, medical threat, bomb threat, blackout and evacuation.
Knows safety regulations and ensures their application and ensures the safety of people and property in the hotel.
Respects and ensures that the hotel’s commitments to the Planet 21 Program “environment charter” (energy saving, recycling, waste sorting, etc.) are respected.
Understands and strictly adheres to the rules and regulations set forth in the Personnel Handbook and the hotel’s policy on fire, hygiene, health and safety.
Ensure that confidential records and other confidential information are properly protected and not removed from the office.
– Do not disclose any financial or other information about Accor hotels.
