The Front Office Supervisor is responsible for assisting the Front Office Manager in day-to-day operations, serving as the first line of guest recovery, answering and responding to internal and external guest needs and providing outstanding guest service.

Main duties

Responsible and accountable for all Front Desk Agent responsibilities including but not limited to
Registering guests, ensuring appropriate credit is received, recording and fulfilling special requests, and creating accurate information in hotel systems.
Maintains and improves the quality of the guest experience
– Processes all payments according to specific hotel requirements
– Provides information and assistance to all guests and visitors
Provides prompt, courteous and efficient processing of all guest room reservation requests, changes, cancellations and information
– Provides fast, courteous and efficient handling of all incoming calls and assistance for outgoing calls occurring through the PBX
Plays an essential role in emergency assistance (fire, medical, power/system outage) by contacting assigned personnel for immediate assistance and following the assigned roles to print necessary reports
– Assists guest services, housekeeping and maintenance staff in meeting guest requests
Creates a work environment that promotes teamwork, mutual recognition and respect.
Maintains confidentiality of all guests
Provide ideas and suggestions for new products, services, technology and processes to ensure the resort’s vision and in anticipation of changing guest needs.
Ability to multitask and prioritize departmental functions to meet deadlines.
Maintains and organizes site inspections by keeping detailed records of when site inspections are conducted, selecting rooms and communicating with necessary department heads.
Maintains and secure controls while working, keeping detailed records of all transactions.
Provides new staff with appropriate training and ongoing training for all other front desk staff.
Provides lateral support to the retail team by assisting with manager overruns, discounts and returns.
Works diligently to work continuously with the Front Office Manager to improve operations.
Completes front office checklist audits to ensure completion on a daily/shift basis.

In particular, you must ensure that risk assessments are carried out, that safe work procedures are in place for all work activities and that all employees responsible for you are aware of the Group Health, Safety and Security Policy and their obligations under it. You should ensure that safe work practices are observed and that risk assessments and procedures are regularly reviewed. In the event of accidents, you must ensure that they are investigated appropriately and that corrective action is taken when necessary to ensure that such accidents do not recur

To be eligible for this role, you must possess the following criteria

High school diploma or equivalent experience required
– 1 – 3 years of experience in a hotel front desk using OPERA PMS or equivalent.
Must be able to speak English clearly and fluently or standard local/regional language.
– Provide excellent customer service and maintain professional behavior.
– Ability to communicate effectively with others orally and in writing
Must have excellent customer service skills, proven conflict resolution skills, and proven leadership skills to drive initiatives for team and business improvement.
The ability to stand for long periods. You must be able to work a flexible schedule including evenings, weekends, and holidays.
