Work summary
Responsible for the overall management and control of documents and data related to projects during the project life cycle phases.

Specific Job Competencies:
Technical knowledge of document control system
Plan, coordinate and evaluate both their own schedules and Document Controller schedules to meet project requirements through effective time management
– Strong communication skills, good understanding of English and good written grammar
– Adaptable to change
Initiative to undertake tasks with minimal supervision provided by Project Document Control Manager
– Analytical and problem solving skills
Encouraging teamwork to develop and maintain an effective team environment

Main mission and responsibility:

This role will
Provide training for new users and document controllers on the project
Ensures that documents are defined and comply with standard templates and formats
Perform quality and compliance checks on all documents prior to issuance.
– Reporting the progress of documents
Provide document control support to project team members in document retrieval
– Ability to work accurately and efficiently.
Assist the Project Document Control Manager in implementing and implementing document control procedures and business practices for use on all projects during the design and construction phases
– Coordinate and prioritize work requests to meet project and construction requirements
Recording and maintaining documents in electronic document management systems
Understand and maintain document management objectives according to the function of the job
Ensure that external engineering contractors follow standards, procedures, work instructions and specifications
Timely submission and distribution of reports and data to the Project Management Team as per the Project Distribution Matrix
Manage project files from project start to closure
Work closely with document management and control in other areas to ensure procedures, standards and work instructions are maintained and modified as appropriate

Additional responsibilities:

Administrative duties
Dispose of obsolete documents during project closure according to project requirements
– Performing audit processes and procedures that adhere to the principles of continuous improvement
Manage the transfer of information between the company, contractor, project and other company organizations to ensure appropriate database/log entries for tracking purposes

Required Experience:
At least 3 to 5 years of experience in related organizations in a similar role in document control and records management
Possess good knowledge in document control and management processes, standards and ISO standards.
– You must have knowledge in ACONEX.
– Mature, proactive, take the initiative and well organized
Systematic and able to work under pressure
Accurate and able to quickly follow up on tasks
– Able to work independently as well as within a team

Additional requirements:
Must be able to communicate confidently in both written and spoken English.
Proficient in MS Office applications (Excel, Words and PowerPoint)
Must have experience working with an Electronic Document Management System (EDMS)
– Experience with SharePoint is helpful
Arabic translation is useful but not necessary.
Middle East experience is essential
