the purpose:

Perform all administrative administrative duties in all aspects.

Main responsibilities and activities:

– Contacting the technology department to obtain the contact details of the land owners so that they can implement the contracts.
– Contact land owners for identification documents and information.
Issuing lease contracts according to the specifications in the technology department.
Ensure that appropriate signatures are obtained and relevant individuals are informed regarding the signing of contracts.
Entering contract details into the system and following up on contract renewal and/or termination.
Handling all lease contracts and licenses for Ooredoo retail stores.
Liaise with the Human Resources Department when hiring a new expatriate employee to start the process of applying for new work/residency visas or transferring existing residence.
Arranging and completing the necessary forms stipulated by the Ministry of Social Affairs and Labor using the ACCESS system and making sure that new forms that are submitted as templates are entered.
Act as an intermediary between employee and representative, Government Relations to collect all required supplementary paperwork as part of the application process.
– Supervising the provision of the representative and government relations with the completed forms and papers necessary to obtain approvals from the various ministries.
Follow up and update the expatriate employee data sheet with issue dates/expiration dates and other relevant data to ensure that renewal deadlines are not missed.
Follow up with employees whose residence permits expire and collect information needed to process renewal.
Inform the Managing Heads of any delays in the residency/visa processing who will then take the necessary action.
Redirect visitor visas to the department that previously requested them for the next visitor.
Arranging and keeping abreast of changes in regulations for expatriate employees through information received from the Messenger program, as reported in the press, or through the Ministry’s websites and informing all concerned individuals.
– Ensure the collection of data and the preparation of social security forms to confirm the number of Kuwaiti employees registered with the company, under human resources directives for the purpose of obtaining clearance certificates to be submitted to the Ministry of Labor. essential.
Liaise with HR and Payroll for salary changes every month to submit to MOS.
– Follow up employee permits and process residency transfers.
Produces general correspondence to the Department Director as required.
Perform routine clerical duties including but not limited to word processing, data entry, filing, faxing and transcription.
– Keeping and keeping track of all admin files updated to avoid any error or delay.
– Preparing and printing petty cash bills and overtime work for couriers
– Keep track of all mail receiving incoming and outgoing mail and reply with the correct answer as quickly as possible.
Assisting employees of all levels in their personal matters.
Performs administrative and office support activities for superiors, duties may include making phone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and searching the network
Issuance of the permanent residence document in coordination with the concerned departments and the issuance of the permanent residence document in Oracle to follow up and follow up on approval.
– Processing of courier for work and personal.
Review courier invoices, prepare a courier list for departmental secretaries who will classify it as commercial or personal use and then arrange to collect money owed for personal use to courier companies to then send to the Finance department.
– Starting the process after obtaining permission to issue a business card to employees and coordinating with the printing company.

Qualifications / Requirements:

– Certificate of Secondary Education
Years of experience required based on the progression ladder in administration or secretarial work
Good working knowledge of Microsoft Office including ACCESS
– Fluency in both written and verbal Arabic and English
Writing skills in both English and Arabic
