Implement comprehensive document control system at the project site in accordance with the company’s EDMS system.
Ensure that all project documentation is controlled in accordance with company document control procedures.
Monitor and manage incoming and outgoing documents (submissions, referrals, specifications, drawings, isometrics, correspondence, etc.).
Copy drawings and documents and distribute them to the relevant parties at the project site.
Preparing documents for technical proposals and clarifications for bidding projects.
Preparing the necessary data reports for the various parties to the project in a timely and accurate manner.
Follow up on priority items with relevant managers, engineers, consultants and contractors.
Implement and monitor the use of different formats among project team members.
Coordinate with consultants and contractors to send and receive various reports, drawings, submissions and other pending issues.
– Implementation of communication management plan and change control systems.
Create a central and efficient filing system.
Manage daily uploading and downloading of correspondence, drawings, notifications and other documents.
Update all project spreadsheets.
Archiving, copying and scanning all project documents as per policy.
– Convert graphics to different file formats and upload/file as required.
Coordination with the consultant and the client to obtain contractor approvals.
Support the project management information system at the organization level.
– Coordinate with the Document Control Manager to ensure knowledge of EDMS policy, PMIS, procedures, reports, etc. used by QPM.
Ensure accurate and timely processing of data reports for head office as required.
Conducting periodic data checks and validation to ensure data accuracy.
Ensures timely transmission of approved project change orders to relevant stakeholders as per the Communications Management Plan.
– Bachelor’s degree in Computer Science or Information Technology related course
More than 7 years of experience in document control
– One or two EDMS systems – such as Aconex, Expedition, ZILAB
– A good verse in virtual reality (VR) application, JAVA programming and artificial intelligence (AI)
– Types of memos, letters, and e-mail, preparing documents and presentations as per the department’s requirements.
Coordinates with other staff/departments on behalf of Operations Manager/Project Manager and Program Manager regarding information collection/sharing and follow-up.
Receives, reviews and processes documents for Operations Manager/Project Manager and Program Manager review and signature/approval.
