Sales Coordinator

You are multi-tasking and able to work independently, performing a wide range of complex and confidential administrative duties to support your team. You communicate well with all contacts, anticipate and solve problems, and update the team for your various projects.

The position requires an extremely high level of social skill to promote and ensure good interdepartmental relations. The incumbent must demonstrate organizational and coordination skills while maintaining a pleasant manner and positive attitude at all times.

What will you do:

Main Duties and Responsibilities:

Operations:

– Post office and filing performs in a timely manner.
– Prepare requisitions/requisitions for stationery and office supplies.
Preparing sales groups.
Ensure that office equipment is in good working order.
Maintains and updated sales mailing list.
– Bathroom checks at regular intervals for incoming correspondence.
Reminds DOSM members and sales teams of important dates, sales training sessions, and meetings.
– Records and Operations Record the monthly attendance of the department.
Maintains adequate stock of office supplies.
– Sends letters, documents and parcels to be sent by post or express mail.
– Performs common and related duties and special projects as may be assigned.
Maintains the highest level of guest care and service.
You have a good knowledge of all hotel facilities and are able to answer guest questions.
– Stay up-to-date with all food and beverage activities and special promotions.
Maintains an organized, systematic and up-to-date file system (paper copies and hard disk backups), in order to ensure easy access to the required data and to take advantage of data loss from devices.
Prepares and writes Corporate Offer Letters for Sales and Opera Updates and ensures they are properly reviewed and checked before handing them over for signature.
Composes letters, memos, faxes, and other mail on behalf of the Director of Sales and Marketing and other executives.
Maintains a fast and accurate follow-up and tracking system for the manager’s correspondence
Handles all incoming calls and guest inquiries in the absence of sales team and channels to the concerned department if the inquiry requires immediate action.
– Send mail and fax documents within the sales department immediately.
Maintains sufficient stock of office supplies and initiates requisition.
Maintains and updates brochures, fact sheets, and F&B flyers
Ensure that the month-end S&M report is completed and submitted on time
Ensures that all correspondence and offers related to the sales team are out within a maximum of 24 hours
Organizes private time and prioritizes to ensure maximum use of the work day.
Reports to work on time in proper and elegant uniform with name card at all times
Ensures full knowledge of hotel property, area, facilities and services.
Performs thorough inspection of premises and operating equipment to determine cleanliness and order.
Good communication at all levels in dealing with various administrative requirements imposed by the stressful work environment.
Flexible to adapt to sudden increase in working hours if and when demand for work arises.
Comprehensive knowledge of Word, Excel, Power Point, Opera S&C
Schedule breaks so the sales office is open at all times
– Ensures that all equipment is in proper working condition and that care is cultivated for all equipment used.
Ensures comprehensive and up-to-date knowledge of the property’s unique selling points, features, facilities, services and policies.
Ensures adherence to MH&R sales and marketing policies and standard operating procedures at all times.
– Attends the departmental and communications meeting at the request of the department head.

Administration:

To participate in any training/development schemes as recommended by senior management.
To comply with any reasonable request made by management to the extent possible.

Your experience and skills include:

Should possess excellent business and analytical skills.
Ability to work with abstract data, analysis and consolidation.
Must be proficient in MS-Excel, MS-Word, MS-PowerPoint and MS-Outlook.
Must be familiar with and work with hotel reporting tools (Fidelio, Opera, Delphi, etc.).
Strong work ethic.
Must be multi-tasking and goal-oriented.
Ability to communicate effectively in oral or written form to all levels of management.
Ability to analyze data and report findings/observations effectively.
– At least two years’ experience in sales and marketing in a luxury hotel, tour operator or airline
