Support the day-to-day activities of the HR and Administration department
Responsibilities include but are not limited to – processing employee data, assisting with the hiring process, maintaining absence records, LTA records, medical insurance negotiations, maintaining all application and card records, assisting with company formation, assisting in termination of various HR vendors and administrators (More details in the description below). To be successful in this role, you must have strong organizational skills and be familiar with human resource and management functions.
• Organizing events and birthdays. Make hotel/flight reservations, prepare for new employees onboarding and their onboarding process.
• Provide HR support and advice to staff and reporting managers, explaining policies and procedures in a timely and efficient manner, with respect to vacations, medical insurance, travel allowance, ticket reservations, hotel reservations, visa support, etc.
• Validate each vacancy and pre-screen applicants
• Oversee the testing process and ensure objective evaluation of performance
• Enter data into the human resources system so that accurate records are kept.
• Managing the absence registration system, requesting medical certificates when necessary, etc.
• Manage trial review periods and ensure timely completion of the same.
• Reviewing candidates and scheduling interviews
• Maintaining employee master database.
• Manage the employee leave/work leave management process i.e. collect access card, parking card, sim card, laptop, etc. and accordingly cancel the contracts of SIM card, access cards, etc.
• Assist the HR department & management with the development and maintenance of HR & department policies and procedures.
• Liaise with PRO and Business Partner Government Relations to support employee/family visas; No Objection Certificates, Free Zone Visas, Trade License Renewal, VAT Certificates, Emirates ID Card Issuance, Document Scanning, etc.
• Create a schedule and keep all company lease contracts, commercial license, etc., issue date and expiration dates, and update the group entity master file regularly
• Liaising with various external vendors and managing buildings associated with all group companies, keeping records of them, negotiating better renewal terms, for example, for medical insurance, office insurance, workers’ compensation, maintenance of air conditioners, utility cleaners, rent, search for new offices, etc. .
• Liaising with external company formation companies to ensure that accurate documents are shared with them to create and form new companies.
• Academic qualification: Bachelor’s degree.
• At least 5 years of experience in a managerial role
• Customer Service – Good communication and people skills, energetic, enthusiastic, proactive and take the initiative to study requirements, handle issues and resolve internal and external customer issues.
• Team Oriented – Actively promotes a collaborative/positive team spirit and respects the diverse contributions of different teams, service partners and agents/networks abroad, creating and building value for the company and stakeholders. Good understanding and commitment to company values.
• Possesses good communication and strong interpersonal skills, good command of English – both written and spoken, including the ability to communicate with confidence.
• Computer Skills – Strong working knowledge of HRIS software systems, Microsoft Office applications, specifically Outlook, Presentation, Word and Excel.
