Role responsibilities

strategy

* Managing the CEO’s office and coordinating the day-to-day work and work commitments.
* Assisting the CEO in implementing the state and business strategy.
* Support the development and implementation of business/function priorities, ensuring there are aligned with global strategies and regional priorities.
* Provide the CEO and the team with support in planning and monitoring the progress of local projects, risks and issues, providing quality control, and agreeing on required timelines and resources.
* Managing and handling internal and external confidential correspondence.
* Support the delivery of projects and identified priorities (eg D&I strategy, strategic workforce planning, follow up on My Voice Engagement through communication strategy, internal communications agenda, etc.)
* To deal independently with routine administration and correspondence.
* Arrange meetings according to work priorities.
* Make all travel/visa/accommodation arrangements for the CEO.
* Attending CMT meetings, preparing and completing minutes of meetings

Business

* Support CCIB business when required.
* Assist the CEO in driving the business agenda and achieving alignment across businesses and functions by working with department heads.

Processes

* Ensure and efficiently manage files and records for the CEO’s office
* Ensure that deadlines are met and all global policies are adhered to
* Review and manage e-procurement requests on behalf of the CEO and challenge departments to ensure adherence to supply chain policies.
* On behalf of the CEO, review T&E requests for approval and ensure they comply with T&E guidelines.
* Maintain an accurate record of G&E and review G&E approval requests.
* Support the dissemination of group policies, products and processes to group members to drive participation and thus business performance.

* Coordinate ongoing feedback session with all Business Heads/Ancillary Functions and formal P3 review sessions.
* Ensure that all direct/matrix reports to the CEO have up-to-date job descriptions.
* Ensure the provision of training and continuous development of personnel
*Assist the CEO to review team structure and succession plans.

Risk Management

* Oversee activities including audits – ensuring satisfactory audit closure and operational risk points.

* Support the CEO in reporting to the Cluster/Territory CEO’s office on progress.
* Assist the CEO to drive improvement of the governance environment including close monitoring of organizational projects.
