The event coordinator plans and supervises the food, beverage and entertainment events that take place at the hotel, including conferences and weddings.
Main duties
To discuss the job with the client, ascertain their exact needs and note this.
Informing the client of the various facilities available, advising and discussing the advantages of the different options.
– Advise and discuss the selection of menus.
– To advise and discuss schedule plans.
Ensure the required entertainment, if any.
– To ascertain required schedule dates, such as flowers.
To confirm the availability of the required facilities.
To monitor and control temporary and confirmed job bookings and ensure that double bookings do not occur.
To confirm all details in writing to the guest.
To update Status Board and inform all departments as soon as job confirmation is received, usually under the Banquet Manager’s signature.
To assist the Banquet Manager during the event.
To be constantly aware of new job opportunities and work on them.
Be available to the conference organizers at all times during the conference.
To ensure the cleanliness of all conference and event halls.
– To ensure that all necessary stationery requirements are in place.
Ensure that all required equipment is in place and in working order, especially sound and audio systems.
– To ensure water jugs, cups and refreshments are refilled at regular intervals.
Make sure to change ashtrays during each break.
Ensure that the required refreshments are served on time.
