Job description and summary
A career in administration and secretarial services, within internal company services, will give you the opportunity to provide administrative support to PwC employees. You will focus on using business software applications to prepare reports, receive and direct incoming calls or emails to appropriate parties, arrange business trips, track expenses, and coordinate meeting arrangements.
Ensures the smooth running of the office, by coordinating administrative support across the office and ensuring the office is supported in an efficient and effective manner
Responsible for purchasing office supplies
– Supervising office administrators, drivers and reception
Financial issues:
– Adhere to the budget allocated to the office services function
– Propose appropriate cost-saving solutions
Work with procurement in relation to office needs (supplies and consumables)
Preparing purchase orders for all office management requirements
client:
– In line with procurement guidelines, provide office service supplies
Coordinate local events, office events with close contact with the office manager
Coordination of printing and binding requests
Facilitate the recruitment process for new staff by coordinating incentives and other matters with HR, notify HC, IT and receptionist of new hires/departures, provide/remove security clearances and office access as required
Handles and reports on emerging special issues
Acts as an interface between administrative staff and management
– Manage external archives if needed
– Seating, storage and parking management
– Supervising the couriers and the post room
internal process:
– Managing office administrator appointment and disputes
– Adhere to the policies and procedures established by management
– Coordinating drivers’ schedules, reviewing schedules and managing vacations
Coordinate office manager schedules, review schedules, and manage leave
Coordinate reception staff schedules, review schedules, and manage vacations
– Manage maintenance and repairs
– Management of cleaners and other external services
Liaise with the office owner’s Fire Safety Officer and Business Resilience Coordinator
– Petty cash management for local offices
Learning and growth:
Closely monitor the daily operation of junior staff to ensure that office operations support is well maintained and provided fairly to all office users
Standardize and improve the efficiency of internal office management processes
Assist the office manager in the recruitment and deployment of junior administrative staff (receptionist, office assistants, drivers, etc. as per local needs)
Training of new office management team members
Direct reports performance management
Act as a primary resource and liaise with other functional areas of the business, building cross-functional relationships as needed
