• Manage billing/banking/fundraising in line with Teach protocols
• Manage school bills, group trips and other activities
• Follow up on accounts receivable according to education protocols
• Keep daily accounts updated so that information can be shared with the Principal and Teach
• Manage the daily petty cash system
• Process all vendor payments and employee expense claims
• Dealing with the administration of supplying the teacher’s salary / worksheet
• Handle the finances of any SLT authorized professional development application
• Assist the manager in preparing annual budgets and implement procedures to maintain strict budget control and have reports available to the manager on the current budget status
• Process orders and supplier payments
• Perform bank reconciliations and related reports
• Work closely with the manager to produce monthly payroll
• Be the primary point of contact for all school staff regarding human resource issues, including (but not limited to); Contracts, terms and conditions of employment, payroll, housing, HR policies, leave and benefits
• Support the onboarding process for all new hires, including pre-employment communications to ensure new juniors are aware of the requirements of their role, work and live in the UAE, and coordinate with IT for relevant systems
• Coordinate visas, work permits, ADEC requests, renewals, cancellations and related processing of new employees, ensuring they are aware of the requirements, and avoiding fines or penalties for non-compliance. Responsible for compliance and ensuring that all employees have valid contracts, passports, visas, electronic IDs, etc., that are tracked through the system
• Work closely alongside the Education Recruiting Manager, tracking candidates for teaching roles and providing regular updates to the CO and the Director.
• Create and issue letters of offers, contracts, contract renewals, amendments and associated documents in line with company-wide terms, conditions and policies
• Conduct pre-employment due diligence checks for all employees in accordance with employment policy and child protection guidelines, including references and suitability/police clearances and ensure appropriate follow-up based on findings
• Coordinate teacher licensing, documentation and tracking of staff progress through the licensing process in line with directives from the regulator and central office, and coordinate with school leaders and central education department as needed
• Manage life and health insurance applications, renewals, cancellations and associated administration for all school staff in line with operations and directives from human resources in the central office
• Managing and reporting staff attendance, including managing time and attendance systems and escalating leave and attendance issues to school leadership
• Support school leaders with investigations and disciplinary management of staff, ensuring accurate records of cases are kept in confidential personnel files
• Responsible for the issuance of No Objection Certificates, and other employee related letters (eg Bank, Government, Immigration etc.)
• Treat departing employees as leavers and ensure that all relevant exit procedures are completed, including accounts for full and final settlements, visa cancellations and housing procedures
• Maintain confidential employment records and updated personnel files on-site at the school and electronically
• Other duties as reasonably expected
