Job purpose
To provide administrative support to colleagues in the recruitment function

Main roles and responsibilities

Maintain talent acquisition system to ensure all recruitment processes are conducted smoothly and efficiently. From announcing vacancies and creating applications to pre-screening – interviewing – selecting candidates.
– Book tickets for all newcomers colleagues.
Ensures that the new fellows process for new hires is complete; Visa application, medical documents preparation for municipal scheduling, residence visa application, ID card, bank account.
Issuance of contracts for all new colleagues.
Preparing colleagues’ work models for new appointments.
Preparing temporary introduction letters for new employees.
HR is being inducted for new colleagues.
– Sending the list of new arrivals to the concerned departments.
Provides recruitment updates to all management as and when required.
Responsible for updating the crew directory.
– Scheduling interviews for all other levels with AHRM/HRM/DHR
Complete reference checks for all new candidates
– Help with interviews for Level 1 – 3 jobs
One scheduling with HRM/DHR (6 weeks coffee conversation).
– Responsible for making PRF’s for those left and sending them to MKM HR weekly
Liaise with fellow service executives for room requirements needed for newcomers
Completes and sends the monthly employee movement report to the owner company.
Conduct exit interviews for colleagues at level 1
– HRD/HRM sends LD & day off report monthly
Register new entry profiles on Oracle monthly payroll.
– Conducting TAS trainings for all department coordinators to raise the application in TAS for the vacant position.
Create and delete email access for newbies and retirees.
Assist colleagues with all HR related inquiries and questions
– Assisting in the welfare committee and team gathering
– Maintaining and updating the bulletin board regarding recruitment and vacancy
– Save documents
– Any other custom requests by HR Division / HR Department
