Administrative Assistant (Executive Office)

What will you do:

Reporting to the General Manager, the main responsibilities and functions include but are not limited to the following:

Review and draft response to various business correspondence and establish/initiate correspondence as a site
Work with senior management in defining and preparing the weekly meeting schedule. Drafting minutes of such meetings
Handle incoming calls to line managers using independent judgment and discretion in deciding how to resolve and respond
– Maintaining the General Manager’s meeting schedule and calendar
– Make travel arrangements and prepare expense reports
In the absence of the General Manager, handle VIP or special customer service requests, including urgent and priority matters. Requires exercise of independent judgment and discretion
Manage/coordinate reservations, services and facilities for VIP guests. Use independent judgment and work closely with other executives to meet special requests for important guests and provide other amenities as required
Managing administrative tasks and duties.
Release and administration management by working closely with all levels of internal management, employees, guests, customers and external suppliers
Assigning special projects the responsibility of completing the aforementioned projects without supervision

Your experience and skills include:

Proficiency in the use of MS Office Suite including Word, Excel, PowerPoint and Outlook
– Excellent organizational and communication skills, both orally and in writing
– Drafting, proofreading, editing and written communication skills
Strong time management skills and the ability to prioritize tasks
Strong and proven work ethic, high energy and outstanding organizational skills
– Ability to work and thrive in a fast-paced environment
– Ability to switch priorities as needed
He should be flexible, have a mature personality, be free-spoken and responsible
– High level of communication and interpersonal skills, ability to deal with sensitive and confidential matters
Must be a team player but also able to work independently with minimal instructions
Minimum of 5 years of experience as a Corporate Executive Assistant in progressively responsible positions
– Ability to work without supervision
The ability to maintain the confidentiality of everything related to the executive office
High school graduate/university degree
